Authorized senders
An authorized sender is an email address that's allowed to update your PDF by emailing the update address. Without being on this list, an email sent to the update address gets rejected — even if it has a PDF attached.
You're on the list automatically for every code in your account. You'd add other people when you want them to update on your behalf without giving them your sign-in.
Typical examples: a manager who runs the daily menu, a graphic designer who handles the seasonal flyer, a marketing agency, a parent volunteer who maintains the school newsletter.
Inviting a sender
- On the code's page in the dashboard, find the Authorized senders section.
- Click Add sender.
- Type their email address and hit Send invite.

They get an email with a verification link. They have 7 days to click it. Once they do, they're verified and can immediately update your PDF by emailing the update address.
Until they verify, you'll see them listed as pending.
Per-code, not account-wide
Authorized senders are tied to one specific code. If you want the same person to be able to update two of your codes, invite them on each one separately — and they verify each invite separately.
The reason: it lets you give a designer access to your menu code without also giving them access to, say, your wine list code or your pool-rules code.
You'll know when updates happen
Every time an authorized sender updates the PDF, two things happen:
- The account owner gets a confirmation email ("Your menu was updated by [their email]")
- The change is logged in the code's activity timeline
So you always have a record of who updated what and when.
Trusted but not blind trust
Anyone you authorize can replace the PDF. They can't:
- See your billing or account info
- Add or remove other senders
- Delete the code
- Sign in to the dashboard
They get one permission: send a new PDF.
